Privacy Policy

This Privacy Policy explains how Aloflux HRMS (“we”, “us”) collects, uses, and shares information when you visit our marketing site, request a workspace, contact us, or use a provisioned customer workspace. For product Terms, see our Terms & Conditions.

1. Who is responsible

For marketing pages, workspace requests, and platform administration, we act as the controller of the personal data described below. Inside a customer’s tenant workspace, the customer organization typically acts as controller of employee and candidate data; we process that data as a processor on their instructions.

2. Information we collect

  • Marketing & contact: name, email, organization, and message content when you contact us or request a workspace; country, timezone, currency, and company size where provided.
  • Account & usage: login identifiers, role assignments, audit logs, and technical logs (IP address, device/browser metadata) needed to operate and secure the Service.
  • Customer workspace data: HR records, leave, attendance, recruitment, payroll, documents, and similar data entered by the customer or their users.
  • Careers & offers: application details and documents submitted via public careers pages or offer signing links on behalf of a tenant.

3. How we use information

  • to respond to inquiries and evaluate workspace requests;
  • to provision, operate, secure, and improve the Service;
  • to send service-related notices (for example security or account emails);
  • to comply with law and enforce our Terms;
  • with consent or as otherwise permitted, for limited product communications.

4. Sharing

We do not sell personal data. We may share information with infrastructure and email providers that process data on our behalf under contract, with professional advisors, or when required by law. Customer workspace data is isolated by tenant and is not shared with other customers.

5. Retention

Marketing and contact records are kept as long as needed to handle your request and for legitimate business records. Workspace data is retained for the life of the customer agreement and deleted or returned according to that agreement after termination, subject to legal retention duties.

6. Security

We use administrative, technical, and organizational measures appropriate to the risk, including tenant isolation, role-based access, and transport encryption. No method of transmission or storage is perfectly secure.

7. Your choices

Depending on your location, you may have rights to access, correct, delete, or restrict processing of personal data we control. Workspace users should contact their organization administrator first for employee or candidate records held in a tenant. For marketing or account questions, use Contact.

8. International transfers

Data may be processed in countries where we or our processors operate. Where required, we use appropriate safeguards for cross-border transfers.

9. Children

The Service is directed at organizations and working-age adults. We do not knowingly collect personal data from children through the marketing site.

10. Changes

We may update this Policy periodically. The “Last updated” date will change when we publish revisions.
